I usually get royal mail to bring my labels when collecting. Due to not being home all day I decided to opt for the print at post office option. I put the customer initials on all envelopes to identify so they can be matched with the label and a new royal mail delivery person covering my usual postie, the newby left the labels in his van, novice mistake for bringing labels, he got 2 labels mixed up. Based on that experience I said to the post office to pass me the labels and I'll stick them on, they refused to let me. I've checked the tracking for all and one still says post by 23rd. The buyer messaged to ask what's going on.
I think the post office scanned a QR code twice and put the duplicate label on the letter and didn't scan the correct QR code as it's not visible on my receipt. When I order the postage I put the Item in envelope and initials on envelopes after each one rather than at the end so I know I've included all items and haven't missed packing anything.
not sure what to do now and how I can claim back as it's clear the issue is with the post office. I have checked all the other orders and confirms post office accepted royal mail picked up and eBay has updated.
anyone else experienced this or know what to do?

I did but not the same situation.
TLDR: In this case RM will turn down a claim even though their site and their own system may say its "Update provided when delivered", which would indicate that at some point they had it and was scanned by them. However without the receipt you couldnt prove you posted it which is what the proof of posting is for.
I take my packages to the PO and I print out my own labels. So I know 100% sure its all correct, however one of the packages I got an INR request, sure enough check delivery confirmation and it says "update when delivered".
I sent a replacement as several days had passed and everything else on that day was delivered already. Not an issues for me but when I checked the receipt to make a claim, I found that the barcode was missing. One of the packages was scanned twice, so I have 2 barcodes with the same address and I remembered that day the PO clerk got muddled. It dont take a genius to work out that he scanned the same parcel twice, he apologised to me when I brought it up but there is nothing he can do.
That is my story but I hope you have better luck considering they came to collect. You could always ring up and make a claim on the phone and explain rather than fill out the form.
Should note that I am a business not personal, this may have different procedures.
