Buyer ordered a personalised item from me and then asked for a different clip art that was not on the listing. I could not complete the order so I cancelled it saying "Out of Stock" for the reason. This has happened a few times. I did not realise that this would be counted as a "defect". If this happens again what do I choose from the cancellation list. I chose out of stock but obviously that was wrong. What do others choose from the list.
I would appreciate any help - I have asked eBay but did not have a proper reply.

Yep, you selected the wrong reason and it will produce those damaging defects because eBay expect you to have the items in stock if offering them for sale, which of course you did!
The correct option to select is ' Buyer Requests to cancel' this refunds the buyer and your seller performance is not affected.

How many times have you cancelled as 'out of stock' within the past 12 months?

I have been told not to select "Out of Stock" but "Buyer asked to cancel order" as they asked for something that was not on our listing and we could not supply. Is that correct?
