Baffled by postage refund after buyer collected in person

Sold a poster, buyer paid for postage but then offered to collect when he saw I was local. Poster collected, I went to refund the postage and it seems the option is not there to do so. Just my £5 price comes up as a fund to draw from. The payment was only made by the buyer yesterday so still two more days till the funds come through...is that why I can't refund him yet? Or something to do with the impenetrable Simple Delivery and or Buyers' Protection Fee?

With Simple Delivery if the buyer pays for the postage and it's not used it will be refunded to them automatically in 30 days.

How do I mark the sale as despatched or otherwise collected? That option isn't on the menu

You cannot mark as collected if that was not the option selected at checkout.    If you generate the prepaid label it should mark as dispatched.   Then the unused label will be refunded later.
