Support unable to update tracking number on item sold

I recently sold an iPad, it’s been a while since I’ve sold on here. The buyer got their own postage via Royal Mail which I listed as provider, however they option for track 24 which only offers £100 insurance. Because it was likely my fault for not saying had to be special delivery (although I could only see provider not service) I decided to pay the cost of special delivery out of my own pocket. The item arrived and the buyer left positive feedback confirming receipt and that they were happy with item. Now because the tracking number for the original postage is not showing delivered (I contact support with new tracking number) they are saying that it will need to wait 3 weeks for payment then 4 days to clear.
this is crazy that the can’t update tracking numbers or the fact the customer has left positive feedback confirming they got it and are happy.
anyone else had to deal with this? I’m sure a parcel has been more weight or bigger dimensions than originally thought and new postage has had to be purchased in the past ?
