Cancelling a sale

I have had to cancel a sale that has been paid for as the buyer changed there mind. I have refunded him directly via PayPal as didn't have the option on eBay . Now ime getting notifications from eBay to say cancellation hasn't been completed due to not refunding . How do I sort it out as I need the credit fit a cancelled sale too

You have done it all wrong. EBay has two options for cancelling sales, either by agreement with the buyer or because they didn't pay. You should NEVER refund outside of eBay's procedures, through PayPal.

Your problem now is that if you use eBay's cancellation procedure the buyer will receive a second refund. You will just have to let it go, and accept that you won't get any credit for your final value fee.
